Most lists of the best accounting software in Australia rank the same few brands and quote prices that are out of date within months. A plumber with two apprentices, an online store with 400 products and a freelance designer do not need the same thing, so a single ranking does not help much.
This guide works the other way round. It starts with your business type and the ATO obligations that come with it in 2026-27, such as STP payroll, GST and BAS, the Taxable payments annual report and trading stock, then tells you which software features follow. Rules were checked against the ATO’s digital record keeping, TPAR and Payday Super pages.
It is for owners choosing their first package or wondering whether their current one still fits. If you have already narrowed it down and want a criteria-by-criteria checklist, read our small business accounting software comparison.
Key takeaways
- Choose software by obligation first, brand second.
- Sole traders with simple records can start with the free ATO app and myDeductions, then move to software once GST or staff arrive.
- Building and construction businesses that pay contractors generally lodge a TPAR by 28 August; paper TPARs are no longer accepted after 28 August 2025.
- Ecommerce sellers with turnover under $10 million may skip a formal stocktake if stock changes by $5,000 or less.
- Employers need STP-enabled payroll and, from 1 July 2026, super paid each payday under Payday Super.

What should every business check first?
The ATO says to choose software you can understand and operate easily, that meets your record-keeping requirements, and that lets you report digitally to the ATO. It also suggests checking that your software works with your tax or BAS agent’s systems. Most records must be kept for 5 years, so make sure you can export your data if you ever switch.
Which software suits a sole trader?
If you have no employees, are not registered for GST and issue a handful of invoices, you may not need paid software yet. The ATO describes its ATO app as helpful for sole traders with less complex record keeping, and its myDeductions tool is free.
Once you register for GST, which is compulsory at $75,000 turnover (or for taxi and ride-sourcing drivers regardless of turnover) according to the ATO GST registration page, you will be lodging a BAS and coding GST on every transaction. That is usually the point where accounting software pays for itself. Our guide to GST registration explains the threshold, and sole trader tax deductions covers what to record.
Which software suits a tradie?
Tradies spend the day on site, so mobile quoting, invoicing and receipt capture matter more than polished reports. Job costing helps you see which jobs actually made money.
The bigger compliance point is contractors. Businesses that pay contractors for building and construction services generally need to lodge a Taxable payments annual report by 28 August each year. Cleaning, courier and road freight, IT, and security, investigation or surveillance services are also covered, with a 10% of business income test explained on the ATO’s TPAR eligibility page.
The ATO says TPARs can be lodged through SBR-enabled software, Online services for business or your agent, and that paper TPARs are no longer accepted after 28 August 2025. Pick software that records each contractor’s name, address, ABN and amounts paid including GST.
Which software suits an ecommerce business?
Online sellers need inventory tracking that links to their sales channels and payment platforms, and GST coding that handles refunds correctly. Without that, the BAS becomes a monthly reconciliation exercise.
Good stock records also matter at year end. Under the ATO’s simplified trading stock rules, a small business with aggregated turnover under $10 million may not need a formal stocktake if the value of its trading stock changed by $5,000 or less. The estimate must be made in good faith following a rational process, and purchase records are one accepted basis.
Worked example: an online store at 30 June 2026
An online homewares store has aggregated turnover of $620,000. Its trading stock was valued at $42,000 on 1 July 2025.
Using purchase and sales records from its inventory software, the owner makes a reasonable estimate of closing stock at 30 June 2026 of $45,500.
Change in stock value = $45,500 – $42,000 = $3,500. Because $3,500 is $5,000 or less, the store may use the simplified rules and skip a formal stocktake. In that case it treats closing stock as the same as opening stock ($42,000), so the $3,500 increase is not added to assessable income.
If the estimate had been $48,000, the change would be $6,000, which is more than $5,000, so the general trading stock rules and a stock valuation would apply.
Which software suits an employer?
If you employ anyone, payroll is the deciding feature. The ATO says all employers should now be reporting through Single Touch Payroll unless exempt or deferred, and Phase 2 reporting applies. Check the ATO STP product register before you buy.
From 1 July 2026, Payday Super requires super guarantee contributions to be received by the employee’s fund within seven business days after payday. The super guarantee rate is 12% for 2025-26 and 2026-27. Choose payroll that supports paying super every pay cycle, not just quarterly. Employees can learn how their own super works on the ATO’s super for individuals pages, and our Payday Super guide covers employer changes.
| Employer check | Why it matters |
|---|---|
| STP Phase 2 enabled | Mandatory reporting each time you pay employees |
| Super paid each payday | Payday Super from 1 July 2026 |
| Leave and award handling | Wages, annual leave and long service leave |
| Year-end STP finalisation | Makes employee income statements tax ready |
| Agent access | Lets your tax or BAS agent review payroll and BAS |

What if you already use Xero, MYOB or QuickBooks?
Switching is not always the answer. Often the package is fine but the setup is not: wrong GST codes, a cluttered chart of accounts, or payroll that was never moved to STP Phase 2. Review your setup before paying for a migration. We provide Xero training and setup, MYOB training and setup and QuickBooks training and setup for existing users.
As a business grows, governance expectations grow too. Larger groups should read the ATO’s compliance and governance guidance for large business when deciding how their systems and controls are documented.
Rule of thumb: List the ATO reports your business must lodge this year, then shortlist only software that can produce each of them without spreadsheets on the side.
Common mistakes when choosing accounting software
- Buying for features you will never use: an advanced plan does not help a sole trader with ten invoices a month.
- Ignoring contractor reporting: tradies who do not capture ABNs and payment totals during the year scramble at TPAR time.
- Weak stock records: without them, you cannot make a reasonable trading stock estimate.
- Payroll that cannot keep up with Payday Super: quarterly super habits now risk the new super guarantee charge.
- Not involving your agent: a package your agent cannot access adds cost and delay.
FAQ about the best accounting software in Australia
What is the best accounting software in Australia?
There is no single best product for every business. The right choice depends on whether you employ staff, carry stock, pay contractors in a reporting industry or trade overseas. Start with your ATO obligations: STP-enabled payroll if you employ, SBR-enabled BAS lodgment if you are registered for GST, and reliable records. Then trial two or three packages that meet those needs.
Do sole traders need paid accounting software?
Not necessarily. The ATO says its free app can help sole traders with less complex record keeping, and its myDeductions tool is free. Once you are registered for GST, invoice many customers or plan to employ, software that tracks GST and lodges your BAS usually saves time and reduces errors at tax time.
What software features do tradies need?
Tradies usually need mobile quoting and invoicing, job costing, receipt capture and GST coding. If your business is in building and construction and pays contractors, you will also need to collect contractor ABNs and payment totals for the Taxable payments annual report, which is due by 28 August each year. Payroll must be STP-enabled if you employ apprentices or staff.
What should an ecommerce business look for in accounting software?
Look for inventory tracking, integration with your sales channels and payment platforms, and correct GST coding on sales and refunds. Good stock records also support the ATO’s simplified trading stock rules, which may let a small business skip a formal stocktake if the estimated change in stock value is $5,000 or less.
What changes for employers in 2026?
Payday Super started on 1 July 2026. Employers must now pay super so it is received by the employee’s fund within seven business days after payday, rather than quarterly. Super guarantee remains 12% for 2026-27. Your payroll software needs to report through STP and support paying super each pay cycle, so check this before choosing or renewing a product.
